The Downshire Hill Residents' Association (DHRA) is committed to protecting your privacy. This policy explains what personal information we collect through this website, how we use it, and your rights under UK GDPR.

Who we are

The DHRA is a voluntary residents' association serving Downshire Hill and the surrounding streets of Hampstead, London NW3. We are the data controller for any personal data collected through this website. You can contact us at info@downshirehillra.com.

What information we collect

Contact form — When you use the contact form we collect your name, email address, and the content of your message. This information is sent directly to the DHRA committee by email and is not stored on our servers beyond the email itself.

Event submissions

When you submit an event for consideration via the website we collect your name, email address, and the event details you provide. This is sent to the committee by email. If we choose to publish your event, the event details are stored in our content management system. Your personal contact information (name and email) is stored internally so we can follow up with you if needed, but is never displayed publicly.

Bird spotting

Our Local Bird Spotting page allows neighbours to browse local bird species and log sightings. To use the sighting feature you must provide your email address, which is reviewed and approved by the site administrator before you can submit data. We also collect an optional display name and your sighting records (species and date). This data is stored in our content management system and is used solely to maintain a community record of local wildlife. Your email address is never displayed publicly. This feature uses browser localStorage to remember your email for convenience when you return — this is not a cookie and does not track you across sites. You can clear it at any time via your browser settings.

Member accounts

If you are invited to become a member, we use Clerk for authentication. When you sign in with Apple or Google, Clerk stores your name, email address, and profile image. This data is used solely to manage your membership and is never shared with third parties. Most visitors do not need an account to use this site.

Analytics

We use Fathom Analytics to understand how visitors use our site. Fathom is a privacy-first analytics service that is fully compliant with UK GDPR and PECR (Privacy and Electronic Communications Regulations). Fathom collects no personal data, sets no cookies, and does not track you across websites. We cannot identify individual visitors. You can read Fathom's privacy policy at fathom.sh/privacy.

Third-party public data

Our planning and policing pages display publicly available data sourced from Camden Open Data (opendata.camden.gov.uk) and the National Police Data API (data.police.uk). These are read-only requests to public datasets. No personal data about you is sent to these services when you visit those pages.

How long we keep your data

Contact form messages are retained in the committee's email inbox for as long as necessary to deal with your enquiry. Event submission details are kept for the duration that the event remains relevant, after which they are deleted from our content management system. Bird sighting data is kept indefinitely to maintain the community record. You can request removal of your data at any time by contacting us via the contact page. Member accounts are retained while active and deleted on request or when membership ends.

Services we use

We do not sell, rent, or share your personal data with third parties for marketing purposes. Your data is only accessible to DHRA committee members. The following services help us operate the website, each processing data only as necessary to provide their service:
